Information Collection, Use, and Sharing

Data is collected by Bartizan in several ways. When the data is provided to Bartizan by show organizers who contract with Bartizan to provide lead retrieval services at their events, the attendee data is owned by the show organizers. When that data is shared with exhibitors using lead retrieval, that data is still owned by show organizers.

Bartizan also tracks attendees who visit LeadsLightning to learn more about the exhibitors they visited or to download and print certificates. This data is owned by Bartizan.

Below is a list of the various ways Bartizan collects data:

  1. Show Organizers provide attendee lists for specific shows for the purposes of enabling Lead Retrieval services and/or session tracking attendance at their shows. These attendee lists are uploaded to LeadsLightning for the purposes of enabling lead retrieval at their show or event. The show organizer decides which data about the attendee is provided to Bartizan which varies from event to event.
  2. Exhibitors upload the lead data captured at a show to sort, filter and download the leads.
  3. Exhibitors create Exhibitor profiles to provide attendees at shows with information on the exhibitors. The Exhibitor profile contains core data,
  4. When attendees visit the exhibitor profile, their data is tracked by leadslighting and the data is provided to the exhibitor whose profile the attendee visited.
  5. When attendees download or print a certificate awarded by the iSessions app, the attendee data is provided to the show organizer at whose show the attendee was awarded the certificate
  6. When you visit the Site we collect information about your computer and your visit such as your IP address, browser type and when you logged in and out. The IP address and the browser type are not stored once the browsing session end except in the event that the Site encounters a problem when processing one of your requests solely for further analysis and troubleshooting the issue.

Here is how we process your data:

  1. The attendees list provided by show organizer is uploaded to the corresponding event on LeadsLightning. The attendee first name, last name, company and sometimes email are downloaded to iLeads and iSessions apps when those apps are setup using a unique access code to facilitate feed back to the exhibitor when the attendee badge is scanned or the attendee badge ID is typed while the app is not connected to the Internet. The full information about the attendee, which was provided by the organizer, is then downloaded and displayed on iLeads and/or iSessions screen. If the barcode on the badge contains all the attendee information, there is no information downloaded during event setup on the device.
  2. The exhibitor has the ability to email the leads list that he/she has collected at the show directly from the device or log into LeadsLightning and download it. We do not have physical control over the use of leads data once it is downloaded or emailed. However, any exhibitor who uses iLeads or show organizer who uses iSessions is contractually bound by Bartizan’s EULA to follow all relevant GDPR regulations. A few days after the conclusion of the event, and after show organizer approval, we email each attendee with a link to a report that lists all the exhibitors who have captured their information, by scanning the badge or typing the badge ID, to give the attendee at chance to follow-up with the exhibitor and check the exhibitor privacy policy.
  3. For some events, at the direction of the show organizer, leadslightning transfers leads data to a third party server which is controlled by the show organizer or one of its partners.
  4. Exhibitors gain access to LeadsLightning when they purchase a license for iLeads. An account is created using the exhibitor first name, last name, company and email. When the exhibitor login to LeadsLightning for the first time, they have a chance to provide more information such as address and phone number if they chooses to do so. This information is used to identify the exhibitor and for account maintenance. Through this exhibitor account, they have access to all the leads data that they have collected at the shows. Exhibitors can choose to request their account deletion at any time.
  5. Show organizers gain access to leadslightning through a show manager account that is created for them once they sign up Bartizan to provide lead retrieval services and/or attendance session tracking. An account is created using the show manager first name, last name, company and email. When the show manager login to LeadsLightning for the first time, they have a chance to provide more information such as address and phone number if they choose to do so. The core information and any extraneous data are not shared with anyone. Through this show manager account, they have access to all the leads data collected by all exhibitors at their event, attendees’ analytics for engagement measurements and session tracking attendance reports showing how many and who attended each session. Show organizer can chose to request their account deletion at any time.
  6. iLeads resellers gain access to LeadsLightning through a reseller account after signing a contractual agreement with Bartizan. The reseller has direct relationship with show managers who hire them. Resellers manage all aspects of event setup, configuration, data and reporting. They have access to all the information that a show manager and exhibitor have access to. The reseller “contact us” information is displayed on Contact Us page for the managed event.

Legal Basis for Processing – Bartizan’s legal basis for processing is the explicit consent of the attendee both in their registration with the show and in allowing the badge to be scanned by an exhibitor. This is covered in GDPR Article 6, section 1(A): the data subject has given consent to the processing of his or her personal data for one or more specific purposes.

Bartizan only uses the information as described above in the furtherance of providing lead retrieval services and session tracking services to the Show Organizers and exhibitors that Bartizan contracts with. Whether Bartizan is the owner of the data or not, Bartizan will not transfer, share, sell or rent this information to any third parties.
